Virtual Tour -> Reports->Member Listing

The Member Listing provides a generic report where you can specify the selection of the member records, the content and the layout of the report.

The Member Listing Setup screen has two main sections:

Member Records Selection

You can create selection criteria based on member type, and/or, group participation or by address. This means that only member records that meet the combined criteria will be included in the report.

Member Type
Select one or more types. Only member records matching the selected types will be included in the report.

Group Participation

Turn on the Select by group(s) checkbox to access the group participation selection. It is necessary to select a group type from the set of radio buttons (Small Groups, Mailing Lists, Gifts/Minitry or Skills/Interests), then you can select multiple group names from the listbox. Only members who participate in the selected groups will be included in the report.

Participation in group is on a individual basis. However, ChurchCare report is able to combine husband and wife into single record for reporting purpose, if both participate in the same group.

This concept of streamlining and eliminating duplicates is even more important if a combined groups report is chosen. When selecting member records of multiple groups, you have the option of producing a combined report, by turning on the Combined List checkbox. Normally for multiple groups selection, each group is printed separately. So a member who participates in more than one group will appear more than once. With combined list, all the participants of the groups are pooled together. The ChurchCare report engine will then eliminate duplicate member records. After that, it further streamlines any husband-and-wife records into single, couple records. This results in a very efficient and concise report.

Address Selection

Turn on the Select by Address checkbox to access the address selection. It is necessary to select a address type from the set of radio buttons (Street, Suburb, or City/Zone), then you can select multiple street/suburb/city names from the listbox. Only members whose address is within the selected address will be included in the report.

Demographic Selection

Turn on the Select by Demography checkbox to access the demographic data selection. It is necessary to select a demographic type from the set of radio buttons (Occupation, Marital Status, Ethnic Group, Country of Origin, Joining Reason or Leaving Reason), then you can select multiple items from the listbox. Only members whose demographic data fit the selected criteria will be included in the report.

Report Content

Besides the usual Margins and Font setting that can also be customised, this report also allow you to nominate a report title as well.

Page Orientation
(Note that this report is designed for A4 paper size, although you can use A5 paper, the resulting report may not be as nice looking!)
The difference between portrait and landscape, for this report, is that the email address (if requested), is printed on the same line as the name, further on the right hand side. Portrait oreintation, being narrower in width, prints the email address (if requested), on the line below the name. Except if address is not required, then email address is moved to the address position.

Content

This is a series of options that you can turn on or off the determine what information is actually displayed.

Option Description
Print Tithe Number Prints tithe number on the left, first column, if switched on.
Print Children's Names Prints the children's name if switched on. It appears on a separate line immediately below the parents' name, slightly indented from the left margin. Note that this option is not available when creating group selection reports.
Print Phone Number Prints phone number, if switched on, to the right of name column.
Print Address Prints address, if switched on, to the right of phone number column. See Page Orientation description above for more information.
Use Full Address Normally printed address include details up to Suburb name. This is usually sufficient for reports. To use the address for posting (e.g. creating mail address), the complete address would be required. In such cases, select this checkbox to produce full address line.
Print Email Address Prints the email address, if switched on. See Page Orientation description above for more information.
Print Hidden Records Prints member records marked as "hidden from directory", if switched on.

Click portrait or landscape to see a sample of this report. Both reports include address, emaill address, tithe number and phone number, and selected by multiple groups.
